VENDOR AGREEMENT

 

Vendor Agreement & Indemnification


Chino Rodeo


Organized by Linq Events Group, LLC

This Vendor Agreement (“Agreement”) is entered into between Linq Events Group, LLC (“Organizer”) and the undersigned vendor (“Vendor”) in connection with the Chino Rodeo (“Event”).


By submitting a vendor application, payment, or participating in the Event, Vendor agrees to be bound by this Agreement.


1. Event Details

  • Event: Chino Rodeo 
  • Duration: One-day event 
  • Location: Chino Fairgrounds 
  • Organizer: Linq Events Group, LLC
     

2. Vendor Fees


Retail Vendors

  • Vendor Fee: $100.00 
  • Refundable Security Deposit: $100.00
     

Food Vendors

  • Vendor Fee: $200.00 
  • Refundable Security Deposit: $100.00
     

All fees and deposits must be paid in full prior to participation.


3. Refund & Cancellation Policy

Vendor Cancellation

  • NO REFUNDS will be issued if Vendor cancels participation for any reason. 
  • Vendor fees and deposits are forfeited upon cancellation.
     

Event Cancellation

If the Event is canceled by Organizer, Linq Events Group, LLC will refund all vendor fees and deposits paid.


4. Setup, Operation & Breakdown

  • Vendors must be fully set up no later than 11:00 AM on the day of the Event. 
  • Vendors may not close, pack up, or leave until one (1) hour after all rodeo events have concluded, unless expressly approved by Organizer. 
  • Early teardown or departure may result in forfeiture of deposit and exclusion from future events.
     

5. Booth Requirements


Vendor agrees to provide, at its own expense:

  • One 10’ x 10’ canopy 
  • Canopy weights meeting safety standards (stakes are not permitted unless approved) 
  • All tables, chairs, signage, and display materials
     

Organizer does not provide electricity. Vendors must supply their own power sources, if needed.


6. Fire & Safety Compliance

All vendors must comply with Chino Valley Fire Marshal rules and regulations for special events, including but not limited to:

  • Properly rated fire extinguisher readily accessible at the booth 
  • Compliance with fire clearance, cooking, heating, and fuel storage regulations
     

Failure to comply may result in immediate removal without refund.


7. Permits & Licenses

Vendor is solely responsible for obtaining, at its own cost:

  • San Bernardino County Temporary Food Facility (TFF) Permit (food vendors) 
  • Any required business licenses, health permits, or approvals
     

Organizer assumes no responsibility for permit compliance.


8. Insurance Requirements


All Vendors

Vendor must maintain General Liability Insurance with minimum limits customary for special events and must name: 


Linq Events Group, LLC, and Chino Fair Association as Additional Insureds.


Food Vendors


Food vendors must also maintain Food/Product Liability Insurance.

Proof of insurance must be provided prior to the Event. Vendors without proper insurance will not be permitted to operate and will not receive a refund.


9. Conduct & Operations

Vendor agrees to:

  • Operate in a safe, professional, and lawful manner 
  • Not interfere with rodeo operations, animals, staff, or attendees 
  • Follow all instructions from Organizer, event staff, fire officials, and venue representatives
     

Organizer reserves the right to remove any vendor for safety, compliance, or behavioral issues without refund.


10. Assumption of Risk


Vendor acknowledges that rodeo events are inherently dangerous, involving animals, crowds, equipment, noise, and unpredictable conditions. Vendor voluntarily assumes all risks associated with participation in the Event.


11. Indemnification & Hold Harmless

Vendor agrees to defend, indemnify, and hold harmless:

  • Linq Events Group, LLC 
  • Chino Fair Association 
  • The Chino Fairgrounds 
  • Event staff, volunteers, contractors, and affiliates
     

from and against any and all claims, damages, losses, liabilities, costs, and expenses (including attorneys’ fees) arising out of or related to:

  • Vendor’s participation in the Event 
  • Vendor’s products, food, or services 
  • Vendor’s employees, agents, or contractors 
  • Vendor’s failure to comply with laws, permits, or safety requirements
     

12. Limitation of Liability

To the fullest extent permitted by California law, Organizer shall not be liable for loss, theft, damage, or injury to Vendor’s property, equipment, inventory, or personnel.


13. Governing Law & Venue

This Agreement shall be governed by the laws of the State of California.
Any legal action shall be brought exclusively in San Bernardino County, California.


14. Entire Agreement

This Agreement constitutes the entire agreement between the parties and supersedes all prior discussions or representations.


15. Acknowledgment & Acceptance

By participating in the Chino Rodeo, Vendor acknowledges that they have read, understood, and agreed to all terms of this Agreement.
